OneDrive Files On-Demand

OneDrive Files On-Demand allows you to reclaim storage space on your device. You can choose to keep files online only, or designate certain files and folders to be constantly accessible locally on your device. 

Windows

Files On-Demand settings are specific to each device. Be sure to enable it on every device where you intend to use it.

  1. Click on the OneDrive cloud icon in your notification area, then select the Help & Settings (cog/gear) icon → Settings.
  2. Select Sync and back up, then go to Advanced settings.
  3. Under Files On-Demand, choose between Free up disk space or Download all files.

macOS

  1. Click the OneDrive cloud icon in your Menu bar, then click the Help & Settings (cog/gear) icon and select Preferences.
  2. Go to the Preferences tab.
  3. Under Files On-Demand, select either Download files as you use them or Download all files now.

File status

The icons next to synced files on your device indicate their status:

  • Blue cloud (Online-only file): This indicates that the file is only available online and doesn’t occupy space on your computer.
  • Green circle with a green check mark (Locally available file): Opening an online-only file triggers its download to your device, allowing access even without Internet connection. To reclaim space, right-click the file and select “Free up space.”
  • Solid green circle with a white check mark (Always keep on this device): These perpetually accessible files download to your device and take up space, ensuring availability even when offline.
