Microsoft To Do - Streamlining Your Task Management

Microsoft To Do is a versatile cross-platform application designed to streamline the creation, management, and sharing of tasks and lists. Seamlessly integrated with Outlook Tasks, To Do empowers you to effortlessly create, edit, and share task lists from your office, home, or while on the move.

Accessing To Do

Direct Access: Open To Do directly or locate it in the list of available apps on Microsoft 365

Mobile Apps: Download the app on iOS, Android, Windows, and macOS.

Navigating To Do

Upon entering To Do, explore your daily lists, tasks (both assigned and created by you), flagged emails and shared lists on the left-hand side.

Creating Tasks and Steps

  • New Task Creation: Navigate to the Tasks menu on the left, then click Add a task to give it a name.
  • Adding Task Details: Enhance your task by accessing the details pane on the right. Here, include Steps, Reminders, Due dates, and Repeat options. Reminders manifest as a desktop banner on the To Do desktop app, as event pop-ups on Outlook desktop, and as notifications on the To Do mobile app. They won’t appear on Outlook calendars.
  • Task Creation from Flagged Emails: Flagged emails automatically appear under the Flagged Emails section in To Do. Assign due dates and steps to them, just as you would for any tasks created in To Do.
  • List Creation and Sharing: Create a new list by selecting New List. Share lists with collaborators. For improved organization, group related lists by creating and dragging them into new groups. Note that groups can’t be shared; only individual lists within them can be shared.
  • Integration with Planner: To display tasks from Planner, ensure Planner is connected by clicking on the settings icon in the top right corner in To Do, then select Settings > To Do settings. In To Do, click on Assigned to Me to view all tasks assigned to you, including those from Planner.

  • My Day: My Day offers a manual approach to creating a daily task list. You can click on the Suggestions option from the top right corner to incorporate items from your Tasks and Flagged emails list to customize your day’s agenda.
