Options to Save Outlook Messages
While NU email and other mailbox content, like calendar events and contacts, do not need to be manually backed up (this is handled as part of our Microsoft 365 platform), you can save messages in other formats and organize them outside of Outlook. Below are several methods to save messages in various format.
Save Messages as a File
- Double-click to open the message you want to save.
- Go to the File menu and click Save As.
- In the Save as dialog box, navigate to the desired folder in the Folder pane.
- Enter a name for the file in the File name box.
- Select a file type from the Save as type list (or use the default option).
Save Messages as PDF Files
Classic Outlook doesn’t include PDF as a default type for saving. Use the Microsoft Print to PDF feature in Windows 10 or Windows 11:
- Open the message you want to save. Go to the File menu and click Print.
- From the Printer drop-down, select Microsoft Print to PDF and click Print.
- In the Save Print Output As dialog box, choose a folder to save the PDF, enter a file name, and click Save.
Save Messages as Word Documents
Outlook does not currently support saving a message directly as a Word document. You must first save it as an HTML file, and then convert it to a Word document:
- Follow the steps in the Save Messages as a File section above, selecting HTML from the Save as type drop-down menu.
- Open Microsoft Word and go to File > Open.
- Select the HTML file you just saved.
- Choose File > Save As in Word, select Word Document (*.docx) from the file type drop-down and click Save.
