Use the Scheduling Assistant to Schedule Meetings with Co-workers

The Scheduling Assistant in the Outlook Calendar enables you to view the calendars of meeting attendees and select a time that works for everyone.

Add Appointments and Events to Your Calendar

To enable co-workers to schedule meetings when you are available it is important that you add all appointments and events to your Outlook Calendar. Calendar events can be one-time or recurring and can be marked as Private to prevent others from seeing its title and details.

Schedule Meetings Using the Scheduling Assistant

The Scheduling Assistant provides a view of the availability of NU employees and students you want to invite to a meeting.

Outlook Desktop:

From the Calendar select New Meeting.

  • Add names of attendees in the Required and Optional fields.
  • Go to the Scheduling Assistant tab to see the availability of all attendees.
  • Either scroll to find a time that works for all attendees or click on the AutoPick option in the Ribbon to find a time
  • Return to the Meeting tab and complete the meeting invite.
  • Click on Send.

Outlook Web:

From the Calendar select New Event.

  • Add names of attendees in the Invite attendees field.
  • Three Suggested times will be available. Alternatively, go to the Scheduling Assistant tab for additional availabilities. Scroll to find a time that works for all attendees.
  • Return to the Event tab and complete the meeting invite.
  • Click on Send.

FindTime is another tool that can be used to schedule meetings with multiple people, including people outside NU.  The meeting host selects suggested times, attendees vote for the times that works for them, and the hosts schedules a meeting time based on the poll results.
