Scheduling and Managing Teams Meetings
Teams enables virtual meetings for presentations, small group work, and one-on-one discussions. Meetings scheduled in Microsoft Teams sync with your Outlook calendar--and vice versa.
Schedule a Meeting in Teams
- Open the Calendar in Teams: Select Calendar in Teams.
- Create a New Meeting: Select [+] New meeting.
- Add Meeting Details: Enter the meeting details:
- Title, date, time, and duration
- Attendees: Type full names and select from the Global Address List. Use Optional field for non-required participants. Type their full email address to invite someone outside of NU.
- To create a recurring meeting, use the Recurrence drop-down and select a pattern (e.g., Every weekday) and add an end date for the recurring series.
- Send Invitations: Click Save, then Send to send the invite with the Teams join link.
Reschedule or Cancel a Meeting
- To move a single meeting: Drag the event to a new time slot in your Teams calendar. Click Send update to notify attendees.
- To edit the entire series: Right-click the event > Edit > Series, make changes, and click Send update.
- To cancel a meeting (single or series): Right-click the event > Cancel > Occurrence or Series, then confirm.
Share a Meeting Link
- Right-click the event in your Teams calendar.
- Select Copy link to copy the Teams meeting URL.
- Paste the link where needed.
Meeting recordings are saved based on the type of meeting:
- Calendar Meetings: Recordings are processed and saved in the meeting organizer’s OneDrive for Business.
- Channel Meetings: Recordings connected to a Team are saved to the Channel in which they occurred.
